Job Summary
Under the general supervision of the Vice President of Nursing, performs highly complex executive, administrative and secretarial functions. Requiring the application and knowledge of a broad knowledge of rules, regulations, laws, policies and procedures. The nature, diversity and scope of responsibilities involve public and inter-organizational relations. Along with the frequent use of discretion, initiative and independent judgment. The incumbent is also held accountable for relevant departmental information; in order to deliver accurate and timely information, make appropriate decisions.
Responsible for providing administrative support to all nursing staff and coordinating a variety of projects. Works with internal and external parties to provide administrative support to meet objectives that are necessary to initiate project, track projects, ensure all is up to date and accurate. Performs related work as required.
Duties
Responsible for maintaining the Patient Experience Committee; presentations, share and create current educational documents, update committee of new hcahp scores monthly. Proactivity working towards overall hospital positive growth in the patient's experience.
A liaison for and during State visits.
Prepare and edit correspondence, communications, presentations and other documents, departmental contracts.
File and retrieve documents and reference materials.
Conduct research, assemble and analyze data to prepare reports and documents.
Design and maintain databases.
Arrange and coordinate meetings and events. Record, transcribe and distribute minutes of meetings.
Monitor, respond to and distribute incoming communications.
Answer and manages incoming calls. Handles recruitment phone calls and inquiries.
Handles positive and negative consumer situations; phone calls and incoming visitors
Handles Nursing travel staff contracts and interactions as needed
Liaise with internal staff at all levels and interact with external clients
Co-ordinate project-based work.
Review operating practices and implement improvements where necessary.
Supervise, coach and train lower level staff as needed.
Answers questions and inquiries from nursing staff and others.
Ability to interpret and implement policies and procedures, and to effectively communicate this information to a diverse population, in a comprehensive manner. For all Nursing Departments; Nursing Administration, Intensive Care Unit, High Acuity Med Surg, Medical Surgical, Surgery, Post Acute Care, Obstetrics, Nursery, Ambulatory Care, Home Health, Dialysis, Interventions Therapy and Emergency Services.
Works in conjunction with Hospital Administration as needed.
Ability to multitask, and to work successfully under pressure in a fast-paced environment; should be able to handle changing priorities quickly.
