JOB TITLE: Data Entry Clerk

WORK YEAR: Part time: 3.75 hours per day/ 8:00 AM – 11:45 AM/ 12 months/

260 days annually (Pro-rated upon hire)

START DATE: As soon as possible after interviews

SALARY: Schedule 6A, Range 10, $15.53 - $22.94 per hour, placement dependent on experience.

Under the general supervision of assigned management employee(s), this classification performs a wide variety of general office clerical duties. Produces reports in printed format; provides technical information and current data to administrators and office staff: acts as liaison between other staff regarding the enrollment verification process; assist in examining and checking the accuracy of student records and attendance databases.


Positions at this level perform a variety of general office clerical duties involving processing or reports and documents as well as data entry and transmission.

EXAMPLE OF DUTIES: [May include, but not limited to the following.]

  1. Operate computer for the purpose of all data entries, data editing and retrieval
  2. Receive, sort and file correspondence, documents and records; maintain filing systems
  3. Prepare reports and maintain complex and confidential student records
  4. Provide clerical support to the office as necessary
  5. Assist field staff with inquiries regarding student eligibility and the student record systems
  6. Review and verify accuracy of records regarding eligibility of students and answers inquiries regarding student records and student enrollment
  7. Assist in providing necessary training on the policies and procedures used in completing student documentation and records; answer questions and concerns raised by field staff
  8. Participate in planning and programming for enrollments; provide input for the development of new documentation procedures and keeping current on eligibility guidelines
  9. Perform related duties as assigned


Knowledge of/Ability To:

  1. English usage, spelling, grammar and punctuation
  2. Modern office methods, procedures and computer equipment, including computer hardware and software necessary to the efficient operation of office/program
  3. Methods and procedures of recordkeeping and filing
  4. Communicate clearly and concisely, both orally and in writing
  5. Perform a broad variety of general clerical work independently, including filing and recording information on records
  6. Perform simple mathematical calculations accurately
  7. Work independently with minimal supervision
  8. Understand and carry out oral and written directions
  9. Establish and maintain effective working relationships
  10. Perform physical requirements of the job with reasonable accommodations.
  11. Learn various databases.
  12. Type accurately at a minimum of 45 words per minute with a maximum of (3) three errors


High School diploma or equivalent and experience that indicates possession of the knowledge and skills necessary to perform the duties listed above, including two (2) years responsible clerical office experience or completion of specialized clerical courses or certified secretarial program and one (1) year responsible clerical office.


Dexterity of hands and fingers to operate a computer keyboard

Seeing to read a variety of materials

Hearing and speaking to exchange information

Sitting for extended periods of time

Lifting, carrying, pushing and pulling objects up to 25 pounds

Bending at the waist, kneeling or crouching to shelve and retrieve materials

Reaching overhead, above the shoulders and horizontally
